💰 Budget Like a Black Belt: Master Your School’s Finances

One of the key reasons some martial arts schools thrive while others struggle is their attention to cash flow and profitability. The best schools know their numbers, understand their margins, and stick to a disciplined budget. If you’ve ever felt like your revenue is slipping through your fingers, this article is for you. Let’s break down some best practices to keep your school financially healthy and growing.
We’ll use percentages for clarity, focusing on gross revenue (your total monthly income). If your percentages are within 2% of these guidelines, you’re on the right track. Falling under these percentages could mean more profit potential—falling over might mean it’s time for some adjustments.
1. Rent: Under 15%
Rent is a static expense, meaning it doesn’t fluctuate with your revenue. As your income grows, rent becomes a smaller percentage of your budget, which is why keeping this under 15% is key. If you’re over this, you may need to explore creative ways to increase revenue or negotiate better terms when your lease is up.
2. Operating Expenses: Under 20%
Operating expenses cover the cost of running your school—software, supplies, inventory, and more. Often, personal spending or untracked purchases can inflate this number. Stay disciplined and track every expense. Small, intentional decisions can keep these costs low, giving you more room for profit.
3. Payroll: Under 30%
While 25% is the sweet spot, it’s not always feasible in high-cost-of-living areas. A common question is whether owner pay should fall under payroll. The answer? If you sold your business today, would the new owner need to pay someone to do what you’re doing? If yes, include your pay in payroll. If not, it should fall under profit.
4. Taxes: 15%
Avoid those gut-punch moments when an unexpected tax bill arrives. Take 15% of your monthly deposits and tuck it into a separate account. If your tax bill comes in lower, congratulations! Use the surplus as profit or roll it over for next year. This small step keeps you ahead of the game and stress-free during tax season.
5. Profit: Above 20%
The ultimate goal—profit! This is the money you keep, reinvest, and grow. Profit allows you to build reserves, open new locations, and invest in opportunities that let your money work for you. As John Maxwell says, every business owner should keep their eye on profit—it’s the true measure of your school’s health and potential.

Budgeting isn’t glamorous, but it’s essential. By following these benchmarks and tracking your expenses with discipline, you can create a financially sound martial arts school that supports your dreams and impacts your community. Remember, you can’t improve what you don’t measure—start today!
